Making Your New Harlequins YOURS

A Clear, Step‑by‑Step Guide for New Owners

STEP 1 — Become an HSSR Member

Before you can transfer your new Harlequin sheep into your name, you must have an active membership with the Harlequin Sheep Society & Registry. Membership gives you access to all registry services, including transfers, lamb registrations, duplicate certificates, and website listings.

1. Choose Your Membership Type

Select the option that fits your situation:

  • NEW Yearly Membership — $20 + one‑time $10 setup fee
  • RENEWAL (Senior or Corporate) — late fee applies after January 1
  • LIFETIME Membership — available as a new membership or upgrade

If renewing or upgrading, enter your existing Member ID.

2. Select Your Membership Year

Choose the year you are joining or renewing for.

3. Optional Website Listing

Add a Yearly Website Listing for $10, or enjoy an included listing with Lifetime Membership.

Provide your farm URL or social media link if you want it displayed.

4. Enter Your Member Information

For new memberships, provide:

  • Member 1 (Primary Contact)
  • Member 2 (optional)
  • Mailing address
  • Phone number
  • Email address
  • Farm or ranch name (your last name is fine if you don’t have one yet)

5. Choose Your Public Listing Preference

Select how your information appears on the HSSR website:

  • Standard listing (name/farm, city, phone, email, state, postal code)
  • Standard listing + street address
  • Standard listing without contact info (for non‑selling members)

6. Agree to the HSSR Member Pledge

Read and sign the Code of Ethics, confirming your commitment to:

  • Ethical breeding and marketing
  • Honest representation of the breed
  • Respectful conduct toward breeders and the registry
  • Following the Breed Standard

7. Choose Your Next Action

After membership, select what you want to do next:

  • Register lambs
  • Transfer registered sheep
  • Order a duplicate certificate
  • Or proceed directly to payment

For this guide, choose Transfer Registered Sheep.

8. Submit & Pay

Once submitted and paid, your membership becomes active and you’re ready for Step 2.


STEP 2 — Complete the Ownership Transfer

This step records your new Harlequin sheep in your name within the registry database.

1. Open the Ownership Transfer Form

From the Member Portal, select Ownership Transfer. Have your Member ID ready.

2. Enter the Animal’s Registration Information

Provide the details exactly as they appear on the Certificate of Registration:

  • Registered name
  • Registration number
  • Microchip (if present)
  • Sex, birthdate, birth type
  • Color
  • Genotype (if listed)
  • Sire and dam information

Accuracy prevents delays.

3. Provide Seller Information

Enter the seller’s:

  • Name
  • Member ID
  • Email
  • Date of sale

The seller must be the current recorded owner.

4. Provide Buyer Information (You)

Enter your:

  • Name
  • Member ID
  • Email
  • Mailing address

Use your farm name exactly as it appears on your membership.

5. Upload or Confirm the Certificate of Registration

You or the seller must upload a clear image of the original CoR. If the certificate is missing, request a Duplicate CoR before proceeding.

6. Enter the Transfer Authorization Codes

HSSR uses a secure authorization code for each transfer.

How it works:

  1. The seller submits their portion of the transfer.
  2. The system generates a Transfer Authorization Codes.
  3. The seller sends both codes to you.
  4. You enter the codes on your transfer form.

This code confirm the seller’s approval and protect both parties.

7. Pay the Transfer Fee

Complete payment for the transfer (and any applicable late fees).

8. Submit the Transfer

Your transfer is now in the processing queue.


STEP 3 — What Happens After You Submit

Once your transfer is submitted and paid, the registry finalizes the ownership change.

1. Registry Review

Staff verify:

  • Your membership
  • Seller authorization codes
  • Certificate accuracy
  • Sale date
  • Animal details

If clarification is needed, you’ll receive an email.

2. Authorization Codes Are Confirmed

The seller’s codes must match the codes you entered. If they don’t, processing pauses until resolved.

3. The Registry Updates the Animal’s Record

Once verified, the registry updates:

  • The animal’s record with your Member ID
  • The transfer date in the animal’s history

This completes the official ownership change in the database.

4. You Receive the Final Transfer Authorization Code

This is the code you must write on the back of the Certificate of Registration.

Your responsibility:

  • Take the original CoR
  • Write the Transfer Authorization Code on the back
  • Keep the certificate in your records

This code is your permanent proof of ownership.

5. No New Certificate Is Issued

HSSR does not create a new CoR for transfers. The original certificate remains valid with the authorization code written on the back.

6. Your Harlequin Is Now Officially Yours

Once the database is updated and your code is written on the CoR, the process is complete.

You may now:

  • Register lambs
  • Transfer the animal in the future
  • List it for sale
  • Use it in your breeding program
  • Participate in HSSR programs

Your ownership is fully recognized.
